This Refund & Cancellation Policy outlines how VacationWares.com manages cancellations, changes, and refund requests for travel services booked through our website, mobile platforms, or customer support team.

By confirming a booking with VacationWares.com, you agree to comply with this Policy as well as the terms and conditions of the applicable airline, hotel, car rental, tour operator, or other travel service providers (collectively referred to as “Travel Service Providers”).

Role of VacationWares.com

VacationWares.com acts as an intermediary between you and the Travel Service Providers. While we facilitate the booking process, all cancellations, changes, and refunds are ultimately governed by the policies of the Travel Service Providers associated with your booking.

Refunds may take up to 3 billing cycles to appear on your bank statement, depending on the provider.

VacationWares.com is not responsible for:

  • Delays in refund processing caused by Travel Service Providers.
  • Partial refunds or non-refundable portions of bookings.
  • Any direct, indirect, or consequential losses due to cancellations, delays, or schedule changes.

Airline & Travel Service Provider Policies

  • All bookings are subject to the fare rules and conditions set by the Travel Service Provider at the time of purchase.
  • Many discounted or promotional fares are non-refundable and have strict change restrictions.
  • Any cancellation, change, or refund fee is determined solely by the Travel Service Provider and must be paid by you.
  • For bookings involving multiple airlines, each airline’s rules apply independently.
  • Hotels, car rentals, and activity providers may impose their own cancellation deadlines and penalties.

Service Fees

In addition to provider-imposed fees, VacationWares.com may charge a non-refundable service fee for handling cancellations, changes, or refund requests. This fee is separate from supplier charges and covers administrative processing.

  • All applicable fees will be disclosed at the time of request.

Refund Eligibility

Refunds may be available only if:

  • The fare rules of your booking permit cancellations with a refund.
  • You meet the cancellation deadline set by the Travel Service Provider.
  • All applicable terms and requirements have been followed.

Important notes:

  • Refund amounts are calculated according to the fare rules at the time of booking.
  • Some tickets may only be refundable as future travel credits.
  • Certain taxes and government fees may be refundable even on non-refundable tickets.

Refund Processing Timeline

  • Airlines: Refunds may take 8–12 weeks or longer.
  • Hotels, car rentals, tours: Refunds are typically processed within 7–30 business days.

VacationWares.com will update you once confirmation is received from the Travel Service Provider. Please note that we cannot expedite refunds beyond the provider’s capacity.

Cancellations by Airlines or Service Providers

If your flight, hotel, or service is cancelled by the Travel Service Provider, your refund or rebooking options will be determined according to that provider’s policies. VacationWares.com will assist you with the process but is not responsible for the provider’s final decision.

Policy on No-Shows

Failure to check in or appear for a booked service (airline, hotel, car rental, etc.) will result in the loss of the full booking amount. No refunds are issued for no-shows.
